RULES OF YAXLEY RUNNERS & JOGGERS

1. TITLE
The name of the Club is – Yaxley Runners & Joggers

2. OFFICES OF THE CLUB

2a) Any dispute arising out of, or not covered by, these rules shall be submitted in writing to the Secretary. The Committee will consider the submission; its decision will be final.

3. OBJECT
The object of the Club is the promotion of running, jogging and social interaction under the rules of the UK Athletics/SEAA and ARC.

4. MANAGEMENT
The management of the Club is vested in a committee of a Chairman, Treasurer, Secretary and such other committee members as the club shall from time to time require. The committee members to be elected annually in April to form a quorum (minimum 4 members). The Committee has the power to fill any vacancy that may arise.

4a) A member can only be considered for the role of Chairperson if they have served for at least one year on the committee.

5. MEMBERSHIP
A Candidate for Membership must apply in writing on a form provided for the purpose, be proposed by one Member, seconded by another Member and upon payment of the appropriate membership fee will be eligible to compete for the club. The candidate’s application for membership will then be ratified at the next ensuing committee meeting. Should the candidate’s application be rejected for any reason his or her fee will be refunded. Yaxley Runners will not accept “Second Claim” runners (those who are currently members of other local running clubs). This rule does not apply to the Services (i.e. Police, HM Forces) University, College or School, or at the discretion of the Committee.

Junior member: Individuals of up to & including 18 years of age and in full-time education also pay a membership fee, as of July 2011.

5a) Members may be expelled from the Club by a majority vote at a General Meeting, either on the Committee’s recommendation or by a proposal of at least six full members. The member in question shall be given a minimum two weeks notice of such proceedings, and the opportunity to speak at the General Meeting.

6. SUBSCRIPTION

The Club Subscription is to be confirmed annually at the AGM. The fee is payable on election and subsequently on the 1st April in each year. Those joining on or after 1st March shall pay the yearly subscription which will be valid until 1st April of the following year.

6a) No member whose subscription is in arrears is eligible to take part in any competition, including local races, or those promoted by the Club.

7. RESIGNATION
A Member intending to withdraw from the Club shall give notice in writing to the Secretary. His/her membership terminates on the date of that notice unless he/she is financially indebted to the Club. In this case the Committee may withhold acceptance of the resignation until he/she has discharged their liability. Letters will be issued in mid-July asking those members who have not paid their membership fees to make a decision by the end of the month. In the absence of a response the member will be deemed as having resigned.

8. NOTICE OF MEETING
The Secretary shall give at least 21 days notice to every Member of the time and place of any General Meeting and the business to be dealt with. An opportunity will always be provided at the end of the meeting for Any Other Business (AOB).

9. ANNUAL GENERAL MEETING
The Annual General Meeting shall be held during the month of APRIL in every year to receive the Committee’s report and financial statement, elect Officers and Committee members and deal with any other matters specified on the agenda. The Secretary must give every member 21 days notice of the Meeting, and notice of any business, which it is desired to place on the agenda, must be given in writing to the Secretary at least 14 days prior to the Meeting.

10. SPECIAL GENERAL MEETING
To hold a Special General Meeting the secretary must receive a written request from a minimum of 6 members. The request must include details of the business to be brought before the meeting. The secretary must action this request within 14 days of receipt, and must provide a minimum of 14 days notice, prior to the date of the meeting.

11. ALTERATION IN RULES
No alterations or additions may be made to the Rules unless proposed and accepted at an Annual General Meeting or a Special General Meeting called for that purpose Notice of any proposed amendment must be given as provided in Rules 8, 9 or 10.

12. LONDON MARATHON CLUB ENTRIES
This draw is only open to those members, new or current who have paid their ‘subs’ and have a individual England Athletics – Unique Registration No. (EA URN) by 30th June annually, in the year in which the draw takes place. The draw will take place at a social gathering prior to Christmas, to be advised in the weeks preceding the draw.

Please note:
Club nights and times are as follows: Monday and Thursday (or Tuesday following a ‘Holiday Monday’), 6.30 pm to run at 6.45 pm (unless stated on Club nights/Races diary).
Handicap Race Time: As stated on the Club nights/Race.
Club kit: It is compulsory to wear a Club vest/T-shirt (yellow/green/black or older version) whilst competing in the Frostbite series and All other competitive AAA races.
